User privacy and personal data protection policy within the Opti-Time Mobile application
Personal data collected by the Opti-Time Mobile application are collected by GEOCONCEPT SAS, as the publisher of this application, acting in its capacity as the controller, as construed by the GDPR, unless it is expressly stated that the controller is a third party.
The Opti-Time Mobile application may collect users’ (technicians, delivery people, sales staff) locations (latitude & longitude) to enable them to access features that are useful for the performance of their tasks in the field:
- map displays,
- equipment management (scanning and tracing packages/equipment),
- scheduling management (cancellation, optimized appointment booking),
- inter-colleague features (location, communication),
- synchronization with Opti-Time Field Service (field call management software published by GEOCONCEPT SAS)
The identification of locations in the background is used in the Colleagues feature for finding and contacting a nearby colleague. Colleagues’ locations are shared in real time: in the form of a map or list.
Use cases are:
- Recovering the location of the telephone or laptop to enable one’s own location to be shared with one’s team colleagues to confer the ability to search for one’s closest colleague in an emergency (Colleagues features). Colleagues’ locations are displayed on a map and in a sortable list.
- Recovering the location of colleagues’ telephones or laptops to enable a search for the nearest colleagues to a customer site (Nearby colleagues feature)
- Recovering the location of the telephone or laptop to enable a search for the nearest calls corresponding to the requesting technician’s qualifications (Search for an appointment feature)
- Recovering the location of the telephone or laptop to enable a search for customer sites in the vicinity of the requesting technician, based on a configurable radius (time and distance) and number of results
- Recovering the location of the technician’s telephone or laptop to enable the potential provision of an ETA alert (theoretical time of arrival at the customer’s site) when the technician is approaching.
- Recovering the location of the technician’s telephone or laptop to enable a new customer site to be located (Add a location feature)
- Recovering the location of the technician’s telephone or laptop to enable an existing customer’s site to be relocated (Relocation feature)
Data categories
The processed data are:
- Name and first name
- Professional email
- Telephone number
- Position held
- Geolocation data: users’ location records (coordinates) in real time
- Access times and distances from other colleagues (calculated dynamically and not saved)
- The distance travelled between positions
- Time when location determined
- Accuracy when location determined
- Direction when location determined
- Battery level when location determined
Data recipient
The data collected using Opti-Time Mobile are intended for the contractor and the members of his duly authorized teams.
These recipients may be:
- Team managers
- Planners (emergencies)
- Schedulers (maintenance)
- Field resources themselves
GEOCONCEPT SAS undertakes not to use the data gathered without the contractor’s express authorization. In the event of authorization, GEOCONCEPT SAS undertakes to use the data gathered on an anonymized basis, for statistical purposes, to improve its algorithms.
Data retention period
The data collected using Opti-Time Mobile may be stored, or not, by configuration, and in compliance with the practices requested by the contractor.
The period for which the data may be retained is one year (appropriate period in the context of route optimization).
Your rights
Geolocation data are collected only after the feature has been activated in the Opti-Time Field Service application.
Moreover, the Opti-Time Mobile application comes with a “Privacy” option enabling the user at any time to deactivate the geolocation features and no longer submit his mobile phone’s location (privacy by design). Reciprocally, the features using this location will then be deactivated. The technician will no longer be able to search for nearby colleagues or those in the vicinity of a customer site.
You can access your personal data or request that they be deleted. You also have a right to object, a right to correction, and a right to restrict the processing of your data (cf. cnil.fr for more information about your rights).
